Pre-Shooting Service Guidelines & Refund Policy

Last Updated: September 8, 2026

At Podmedia Network, we are committed to delivering a seamless and professional experience for all our clients. To ensure high-quality production standards, the following guidelines must be followed before any podcast or event coverage shoot is scheduled.

1. Podcast Recordings at Podmedia Studios

For podcasts recorded at Podmedia’s own studios, the following process applies:

  • Clients must clearly state all project requirements, including the desired studio setup, expected deliverables, specific deadlines, and any special technical or branding requirements.
  • Based on the provided information, Podmedia will issue an official quotation.
  • Clients must review and approve the quotation at least four (4) full business days before the scheduled shooting day.
  • No studio slot, crew, or equipment will be reserved without formal quotation approval.
  • Any last-minute minor changes to the project must be communicated via email at least 48 hours before the scheduled shoot.
  • Changes requested less than 48 hours before the shoot are subject to feasibility and may not be guaranteed.

2. Event Coverage and External Location Shoots

For media coverage services or shooting at client locations or external events, the following process applies:

  • Clients must clearly state all project requirements, including the exact date, time, location-specific constraints, desired technical setup, expected deliverables, and any special on-site requirements.
  • Podmedia will issue a formal quotation based on the submitted information.
  • Clients must review and approve the quotation at least four (4) full business days before the scheduled shooting day.
  • This advance confirmation is critical to accommodate crew assignments, equipment transportation, and on-site logistics/technical setup.
  • Approvals received late may incur additional rush fees or result in rescheduling based on team availability.

3. Cancellation & Rescheduling Policy

To safeguard booked resources, studio slots, and crew allocations, the following financial penalties apply to any project cancellations or major date reschedules once a quotation has been formally approved:

  • Cancellations within 48 hours: If a shoot is cancelled or rescheduled within 48 hours of the scheduled shooting date, 50% of the total quotation value is non-refundable (or remains payable if invoice is pending).
  • Cancellations within 24 hours: If a shoot is cancelled or rescheduled within 24 hours of the actual shooting date, 100% of the total quotation value is non-refundable and must be paid in full.

4. Content Responsibility

These terms apply to every shoot, whether it takes place at Podmedia studios or at an external location or event.

  • Client Responsibility : The client is solely responsible for all content that is shot, recorded, discussed, streamed, or published in connection with the shoot. This includes scripts, statements, opinions and remarks made by the client, hosts, guests, or attendees , as well as any music, visuals, or other material they bring.
  • Podmedia’s role: Podmedia Network provides production facilities, crew, and equipment only. Podmedia does not review, approve, endorse, or control client content , and is not responsible for any content shot in its studios or at external locations, including content of a political or religious nature, or any other sensitive subject.
  • Prohibited content: Clients must not use Podmedia studios, crew, or equipment to produce content that:
    • is unlawful under the laws of the country where the shoot takes place or where the content will be published;
    • contains hate speech, or encourages violence, discrimination, or hostility toward any person or group;
    • is defamatory, or makes false or damaging statements about any person or organization;
    • contains adult or sexually explicit material;
    • infringes copyright, privacy, or any other third-party rights;
    • or is otherwise harmful, offensive, or likely to damage the reputation of Podmedia Network.
  • Permissions: The client is responsible for obtaining all consents, releases, and licenses needed from guests, participants, and third parties before content is recorded or published.
  • Indemnity: The client agrees to indemnify and hold harmless Podmedia Network, its owners, employees, crew, and affiliates against any claims, damages, fines, penalties, legal fees, and costs arising from the client’s content or its publication.
  • Right to refuse: Podmedia may, at its sole discretion, refuse, pause, stop, or cancel a shoot at any time if it believes the content is, or is likely to be, unlawful, harmful, or in breach of this section. In that case, no refund will be given, amounts already paid are non-refundable, and any unpaid balance of the approved quotation remains payable.
  • Acceptance: By approving a quotation, the client confirms that they have read and accepted these guidelines, including this Content Responsibility section.
